What to save before and after you pick a giveaway winner.

For a free-to-enter giveaway, save the giveaway details, the rules, the final list of people who could win, how you picked the winner, and the result. Together, these tell a much clearer story than a winner’s name alone.

The simple answer

Save the important information as the giveaway happens.

Trying to rebuild a giveaway record after someone asks a question is hard. Saving each step as you go gives the agency, promoter, and client a clear explanation of the winner.

1. Save the giveaway details

Record the promoter, prize, entry route, dates, countries, who can enter, and where the giveaway is running.

2. Save the rules

Keep the rules that people could see. Note where they were published and which version applied to this giveaway.

3. Keep the entry list

Keep the source of who entered — a CSV export or an imported Facebook / Instagram post — and note duplicates, entries you removed, and how many people could still win. Keep personal data safe.

4. Save the final list

Keep a record of the final list used to pick the winner and the time you stopped making changes to it.

5. Record how you picked the winner

Save the method, time, number of eligible people, winner, and any reserve winners picked at the same time.

6. Save the result

Keep the evidence pack or certificate, plus any notes about contacting the winner, a claim deadline, or sending the prize.

After a giveaway, people may ask what rules applied, which list was used, and how the winner was picked. A clear record helps you answer those questions calmly and consistently.
